Project Co-ordinator – Community Cycling

Location: Kinross-shire 

Reports To: The Chair of the Board of Trustees

Hours: 37 hours per week on a flexible basis, including some evenings and Saturday work. Kinross-shire Trishaws and Community Cycling SCIO operates a 'time off in lieu' policy for any work outwith office hours.

Contract Period: 12 month full time fixed term contract. Contract may be extended dependent upon funding.

Annual Leave: 28 days inclusive of public holidays

Salary: £27,000 per annum

Place of Work: The Courthouse co-working space, 21-25 High Street, Kinross, KY13 8AW is the base for this post along with various community locations dependent on the needs of each project.

Requirement: On offer of appointment, a satisfactory Disclosure Scotland PVG Check is required.

About Kinross-shire Trishaws and Community Cycling SCIO (KTCC)

KTCC has the strategic aim of developing our local community advancing health and wellbeing, improving the environment and reducing carbon emissions, increasing social cohesion and inclusion, contributing to the local economy, increasing road safety for cyclists, and increasing active travel. We provide cycling opportunities to improving physical and mental wellbeing making sure that everyone is included regardless of ability or disability. Our projects will bring people together, foster a sense of belonging, drive social change, build local skills and knowledge, develop leadership, and improve confidence, esteem, and resilience together with improving mental and physical health. Essentially, we are not aiming to develop “cyclists”, but rather, to use the medium of cycling in its various forms to increase social capital.

This is a very exciting time for KTCC as we broaden and increase our charitable offering to our local community. Our planned projects include the development and implementation of a “Positive Pedalling” program that will combine progressive bike rides whilst enabling participants to acquire a range of strategies and techniques to improve their mental health. We will work with local primary schools to develop school “bike buses” to increase the number of children and families cycling to school, ensure all local primary school age children are given the opportunity to learn to ride a bicycle or tricycle, manage the community bicycle lending library, and co-ordinate  programs to support local people to become more active in a progressive and supportive environment.

Job Purpose

This role requires an inspirational, enthusiastic and motivated co-ordinator to ensure that our new cycling-based projects and activities are planned and delivered effectively meeting the needs of participants, funders, stakeholders and the local community. KTCC aims to improve the physical and mental health and wellbeing of people of all ages and stages with a particular focus on mental health. Additionally, we wish to develop learn to ride programmes to ensure that children and young people are able to ride a bicycle or tricycle. The successful candidate will be operational, co-ordinating and leading community health rides and programs, delivering learn to ride training programmes, liaising with a variety of stakeholders and local primary schools. This new role presents an exciting opportunity to co-ordinate the delivery of potentially life changing programmes and encourage more children, young people and adults to cycle.

Duties and Responsibilities

Key tasks

  • Co-ordinating and delivering cycling activities and programs to improve mental and physical health.
  • Co-ordinate and deliver learn to ride/play on pedals sessions for children.
  • Co-ordinate and support the volunteer workforce to deliver guided community health rides for families and adults.
  • Co-ordinate the development of ‘bike buses’ for local primary schools.
  • Deliver workshops and programs for children and adults to increase cycling confidence.
  • Identify and reduce barriers to participation and inclusion.
  • Carry out route planning, reconnaissance, and risk assessments.
  • Complete pre- and post-ride administration including scheduling activities, booking participants, recording attendance, uploading photos from activities, tracking and recording expenses.
  • Proactively contact participants regularly to arrange lessons and rides. This will include telephoning, texting, emailing and responding dynamically to cancellations. 
  • Assist with promotion of KTCC activities and programmes including the design of promotional materials. 
  • Collect, and assist in the evaluation of data for our activities and programmes.
  • Ensure activities and programmes meet objectives and funding requirements. 
  • Assist the board of trustees with applications for funding.
  • Keep our social media content fresh and relevant through regular posting.

Health and safety

  • To ensure day to day operational compliance with all appropriate operational procedures, charity guidelines, Acts of Parliament, Statutory Regulations, Codes of Practice etc.
  • To contribute to the review of safe operating procedures and ensure that they are further developed and fully understood and implemented by all volunteers/staff.
  • To ensure that, on a day-to-day basis, all volunteers and staff enjoy a safe and healthy work environment and are issued with appropriate hi-vis/protective clothing/equipment.
  • To administer remedial first-aid treatment as required
  • Provide a safe and welcoming environment for participants.

Maintenance

Ensure KTCC loan bikes and equipment are well maintained and cleaned, and any maintenance defects are reported/dealt with promptly.

HR

  • To assist in the recruitment, selection and induction of appropriate volunteers.
  • To ensure the maintenance of training records for volunteers.

General 

  • To attend training sessions as required and assist in the training of volunteers.
  • Maintain confidentiality and observe data protection guidelines.
  • To undertake other reasonable duties as may be required by KTCC.
  • To ensure you are physically fit to carry out your duties at all times.

Person Specification

Applicants will ideally be qualified cycle rider leaders/trainers but if you have relevant experience, skills and passion for the work we can provide training. Applicants should be physically fit with reliable attendance.

Essential Experience

  • Competent cyclist with experience cycling in various situations, including in traffic, and ideally also off-road.
  • Experience designing and delivering sports or other outdoor activities in a community setting, including managing different experience and confidence levels.  Ideally this will be cycling activities including group rides and cycle training.  
  • Experience of community engagement.
  • Experience of working with clients from diverse backgrounds
  • Experience of conducting, writing, and working in accordance with risk assessments
  • Experience of working on own initiative, organising and prioritising work
  • Effective use of ICT including familiarity with standard Google suite and Microsoft packages
  • Ability to carry out basic trailside repairs (fixing punctures etc.)

Essential Skills & Qualifications

  • Ability to plan, write, deliver and evaluate cycling activities and programmes.
  • Effective and sensitive communication with a wide range of people, including excellent oral and written communication. This may include some public speaking with stakeholders and community groups.
  • Ability to teach skills and work with individuals to understand and help them achieve their cycling ambitions.
  • Ability to work independently and within a team.
  • Ability to work flexibly.
  • Excellent organisational skills.
  • Ability to work flexibly & adapt to changing community needs.
  • Computer Literacy

Desirable Skills & Qualifications

  • Experience of working in community development role/projects.
  • Bikeability / Play on Pedals qualifications.
  • Cycle Ride Leader qualification.
  • First Aid Certified.
  • Experience of bike maintenance.
  • Adaptive cycling experience.
  • Driving licence.
