Join one of East Lothian’s most prestigious private members’ golf clubs.  Luffness New Golf Club, established in 1894, is seeking a Finance & Golf Assistant with strong financial acumen to support the incoming Club Secretary and help manage the day-to-day operations of the Club.

Key Responsibilities:

  • Financial administration, bookkeeping, Sage 50 accounts, payroll, VAT, and banking;
  • Membership record maintenance and subscription management;
  • Support for Club events, competitions, and visitor bookings; and
  • Deputise for the Club Secretary as required

Skills & Experience:

  • Strong accounting/financial background, Sage 50 experience preferred;
  • Excellent organisation, administration, and communication skills;
  • Professional, discreet, and proactive approach;
  • Knowledge of golf, golf administration or private members club experience advantageous; and 
  • Sound IT proficiency (MS Office) and attention to detail

Job Description

Luffness New Golf Club is a traditional private members’ club with a distinctive ethos and proud heritage.  Established in 1894, the classic links course, designed by Old Tom Morris, continues to attract much-deserved praise and ranks among the finest in East Lothian and beyond.

The Club’s golf is founded upon Foursomes and Singles Medals, while a variety of informal roll-up groups underpin a strong and friendly social atmosphere.  Visitors are warmly welcomed, though the Club’s focus remains firmly on its members.

With the current Secretary retiring in March 2026, and the post to be filled through internal promotion, the Club seeks to appoint a Finance & Golf Assistant with strong financial acumen to support the new Club Secretary in the efficient management of the Club’s affairs.

The position will encompass a range of administrative and financial duties, contributing to the smooth operation of both the Clubhouse and Course.

Accounting Duties

  • Bookkeeping and day to day financial administration
  • Record all receipts (cash, cheque, credit cards, online payments) reconciling to Jonas reports and posting to Sage 50.
  • Conduct regular bank reconciliations and maintain robust internal controls
  • Record, code, and process supplier invoices, ensuring timely payment and accurate accounting
  • Reconcile till balances and perform weekly banking
  • Reconcile subscription income
  • Ideally be able to prepare accurate and timely monthly management accounts using Sage 50 and Excel. 
  • Liaise with the external auditors at year end and assist with year-end procedures in Sage 50
  • Prepare and submit payroll information to external contractor
  • Prepare and submit VAT returns within required deadlines
  • Assist the Club Secretary in the preparation of annual budgets and cash flow forecasts
  • Maintain and update the Clubs fixed asset register
    Membership
  • Assisting the Club Secretary in the accurate maintenance of the membership records and subscriptions.

Golf Related Duties

  • Support the Club Secretary in administering Club events
  • Support the Club Secretary with visitor, group and society bookings including tee reservations, catering arrangements and invoicing.

Office and General Duties

  • Deputise for the Club Secretary during periods of absence.
  • Support the Club Secretary in managing and maintaining Health & Safety compliance across all areas of the Club.
  • Assist with Club communications, including member updates, correspondence, and maintaining the Club’s website with relevant news and information.

Key Attributes and Skills

  • Strong financial and accounting background, preferably with Sage 50 experience
  • Excellent organisational and administrative skills with attention to detail
  • Sound IT proficiency (MS Office) and attention to detail
  • Strong interpersonal and communication abilities for working with members, staff and external partners
  • Discretion and professionalism in handling confidential information
  • A flexible, proactive approach to a varied workload
  • Knowledge of golf, golf administration or experience within a private members’ club environment would be advantageous.
